MINUTES
I. Call to Order: Shannon Marcum, President, called the Meeting to
order at 7:00 pm at the Marival Clubhouse.
II. Attendance: Terrance Bacchus, Carla Brant, Shannon Marcum,
Shannon Plymire, Ron Piontek, and residents, Neal Lemmerman and
Joseph Butt(for open portion only)
III. Approval of Prior Meeting Minutes: Ron motioned to approve
minutes from June 14t and the July, August, and September e-mail
minutes. Tee 2nd the motion. Minutes unanimously approved.
IV. Homeowner questions/concerns – Neal Lemmerman was on of the
two residents who came to the open portion of the meeting. He had a
question about the number painting on the street not being uniform.
Neal questioned the status of the waterfall. Ron provided detail and
outcome of the meeting the week prior. Neal lastly questioned the
status/upkeep plan for the unoccupied home on Forest Ridge.
Joseph Butt participated in waterfall/landscape discussion. Cleaning
of the waterfall approx. $8,000 and pulling pumps out, etc. would be
in excess of $20,000 (per proposal.) Austrian Pines are in common
area. Boxwoods need removed within 30-45 days.
Finally, discussion of solicitors in the neighborhood. Carla to contact
City of Mason to report soliciting without a license.
IV. Board Member Election – Shannon Plymire was nominated to be a
Board Member. Shannon Marcum confirmed that of the 144 Lots,
there were 139 Voting Lots (lots in good standing), quorum
requirements of 42 members. Thirty two votes were presented (6 live
and 26 proxies). Per Property Manager guidance, if no objectives by
those present, the Board could decide to hold vote. S. Marcum
asked for objections from those present. No objections noted. Board
moved forward with election. Shannon Plymire elected by a vote of
28 to 0 to the Board of Trustees.
Open portion of the meeting is concluded.
V. Reports:
A. Management/Financial- Management provided the Board he
financial reports for period ending August 2007. One more letter will
be sent to all delinquent accounts letting them know this is their final
notice and we will move forward with foreclosure process. Follow-up
on Vo lien, why were we not notified they moved or our balance
collected? $10,000 CD is not included in current Balance Sheet and
will be added to the Money Market account and our Total Balance
Sheet for next month. $5000 missing – management will follow up.
B. Social – Shannon P. proposed fall neighborhood gathering
prior to 6-8 pm Trick –O- Treat. Discussed residents donating
canned foods to charity and having ‘safe houses” for the night.
Residents can stop at designated homes to use the restroom, phone,
etc. Welcome to New Residents! We want to establish a Welcome
Packet within their first month.
C. Landscaping/Waterfall- Board approved improvement
application for 3769 Marble Ridge Drive. Application was for an
inground pool. Homeowner Paul Schwartz mentions lightbulb in
waterfall is an easy fix in conjunction with pulling pumps. Says colors
are different. Tee says community mailboxes need to be uniform.
Marcum addresses new vs. older potions of the neighborhood’s being
different. Tee will contact company for residents to contact if needing
a replacement and post to website.
Problems with landscape letters need sent to: 4871 Forest Ridge,
4758 Forest Ridge (weeds and Junk by Garage) 4032 Marble Ridge,
3794 Marble Ridge (Backyard) and 4853 Forest Ridge.
Misc. letters: 3701 Marble Ridge (no satellite dish application), 4056
Granite Court (2nd notice regarding repainting of shutters/doors,
weeds/yard, and roaming cat. 4856 Gemstone – roaming dog
$50 fine per month will be assessed for unresolved violations and
Board may exercise their right to remedy any non-compliance
situation as they see fit.
VI. NEXT MEETING: December 18, 2007 7:00 p.m. at Marival
Clubhouse.
